Marketing register privacy policy 

The marketing register privacy policy (hereinafter “Privacy Policy”) describes how the Union of Professionals in Natural, Environmental and Forestry Sciences Loimu (hereinafter “Loimu”) processes the personal data of potential members when marketing Loimu’s activities, services and membership benefits. 

Loimu processes personal data and uses the register in accordance with current legislation, such as the European Parliament and Council of Europe’s General Data Protection Regulation (2016/679).

Purpose and legal basis for processing data 

Personal data is processed when marketing Loimu’s membership, services and membership benefits. The basis for processing is, depending on the case, Loimu’s legitimate interest or the consent of the member. 

Data content of the register 

Loimu processes the following personal data of potential members: 

  • name of the person 
  • e-mail 
  • telephone 
  • address, postal code and city 
  • membership information 

Personal data collection and regular sources of information 

Personal data may be collected through various means, either from the data subject or from Loimu’s member organisations. 

Regular disclosure of personal data 

Personal data may be transferred to partners for marketing or communications measures carried out on behalf of Loimu:

Data transfer outside the EU or EEA 

Personal data is not transferred outside the European Union or the European Economic Area. 

Storing personal data 

Personal data is only stored for as long as is necessary to fulfill the purpose it is used for. The data will be erased after the end of the marketing campaign. 

Manual materials are stored in a locked space that is only accessible to designated persons. The personal data processed digitally is protected and stored on Loimu’s server, access to which is limited only to persons who need the data in question in order to carry out their duties. Users of the service use personal IDs and passwords. All parties who participate in processing the personal data are bound by confidentiality. Any personal data transferred outside Loimu is encrypted. The workstations and storage media used are encrypted. 

Rights of the data subject 

Data subjects have the right to object at any time to the processing of their personal data for direct marketing purposes. The data subject may give Loimu consents and prohibitions for campaign- or channel-specific direct marketing. 

In addition, in accordance with applicable data protection legislation, the data subject has the right at any time to: 

  • be notified about the processing of their personal data; 
  • access their personal data and inspect any personal data related to them; 
  • request the rectification and completion of inaccurate and incorrect personal data; 
  • request the erasure of their personal data; 
  • withdraw their consent and object to the processing of their personal data insofar as the processing of the personal data is based on the consent of the data subject; 
  • object to the processing of their personal data on grounds relating to their personal, specific situation to the extent that the processing of the personal data is based on Loimu’s legitimate interest; 
  • obtain their personal data in a machine-readable format; 
  • request restriction of the processing of their personal data; 
  • lodge a complaint with the relevant supervisory authority or with the supervisory authority of the EU member state in which the data subject has their place of residence or workplace, if the data subject considers that Loimu has not processed the personal data in accordance with applicable data protection legislation. 

The data subject must submit a request to exercise the aforementioned right to the Data Protection Officer mentioned in this Privacy Policy, at tietosuojavastaava at loimu.fi.

Loimu’s Data Protection Officer may ask the data subject to clarify their request in writing and verify the identity of the data subject before processing the request. Loimu may refuse to comply with the request on the basis of applicable law. 

If the Controller detects any personal data that is erroneous, unnecessary, incomplete or obsolete in relation to the purpose for which it is being processed, they shall rectify or erase it on their own initiative and without undue delay. 

Changes to the Privacy Policy 

Loimu reserves the right to modify this Privacy Policy. The latest version is always available on Loimu’s website at www.loimu.fi. 

Data Protection Officer 

Loimu has assigned a Data Protection Officer to ensure that the personal data is being processed in accordance with the General Data Protection Regulation, to act as an expert on data protection legislation and to support the controller and processors of personal data. This duty can be outsourced to a service provider outside the organisation if necessary. You can find the Data Protection Officer’s contact information at the top of the Policy.
